“Same as last time” leaves too much open. A repeat order needs the current product, final artwork and a clear change list. Keep them together before asking for the next quotation.
1. Find the final reference
Gather the previous order number, approved drawing, final artwork and retained sample. Use the actual approved pack, not an early proposal image. Note any accepted differences or unresolved problems from the delivery.
2. Check what changed
Measure the current product with its cap, label and accessories. A new closure can affect clearance. A different accessory can change insert fit. For gift sets, confirm every component and the packing order.
| Detail | Confirm for this run |
|---|---|
| Product | Current dimensions and accessories |
| Artwork | Final filenames and revision |
| Materials | Agreed board, insert and finishes |
| Quantity | Units per size and artwork version |
| Packing | Flat or assembled, plus carton grouping |
| Delivery | Current destination and requested date |
3. Send one complete file set
When text changes, issue a complete revised artwork file. Do not ask the manufacturer to combine a logo from one email with a corrected paragraph from another. Identify which older versions are superseded.
4. Confirm tools and costs
Ask whether the existing cutting or finishing tools are available and suitable. Record any new setup charges. A previous unit price does not establish the next price: quantities, materials and delivery scope may differ.
Treat a proposed material substitution as a change that needs review. Keep it visible in the written quotation and specification.
5. Turn feedback into action
Describe the observed problem before prescribing a solution. For example: “The accessory compartment opened when the insert was lifted. Please review the locking feature and propose a sample check.” That is more useful than “make it stronger.”
6. Repeat the checks that matter
A structural change may need a fresh fit check. A different finish may need another appearance review. Agree what the approval covers before release.
Product, packaging or distribution changes can affect transport performance. ISTA identifies these changes as considerations for retesting. Discuss the specific change with a suitable testing provider.
7. Release one clear handover
Keep the specification, artwork, change log and approvals in one folder. Name the final version and responsible approver. Retain an agreed reference for receiving inspection and the next reorder.
